Advanced planning visit

The meeting’s goal is to ensure that all the necessary requirements are taken into consideration in order to guarantee the successful development of the project. The duration of the APV will be 3 days (travel days included), and it will be monitored by 2 leaders per each group.

The preparation meeting is of crucial importance for the success of our Youth Exchange. During this phase, the group leaders will agree on the common theme and the agenda of the Youth Exchange. We will reflect on , profile of participants , learning goals of the youth exchange, division of tasks, programme of activities, working methods, practical arrangements (venue, transfers, accommodations, support material, linguistic support).

WHAT YOU NEED TO PREPARE FOR THE ADVANCED PLANNING VISIT:
  1. Describe your group (provide information about your group, what is their age, gender, level of English, what they got out of this youth exchange, their needs, they expectations, they learning goals, who will (besides them) benefit from this youth exchange and in what way? With seting the learning plan can help you our questionnaire which you can find on our common blog http://helpeutick.blogspot.com/ in the section The learning needs analysis. Ask your participants to fill the questionnaire in, gather the information and sort it into categories that help you identify themes/topics that need to be addressed.
  2. Prepare a topic of the day. Each national group will pick a topic, which would like to discuss with the others and during morning activities/programm will try to involve others into it.This way all participants have opportunity to facilitate the activities themselves, including an evaluation at the end of the programme. Regarding with the topic, please, complie ideas for your own country’s one-day programme (approx. 3 hours long) which will be introduced to the others.
    • Prepare a draft plan of your activities which you want to introduce to the group (you can choose topics from daily program which you already have or you can bring your own activities.)
    • Please include your topical requirements that all participants can discuss and the reasons/benefits that this topic generates.
    • Please include how you wish to demonstrate this activity –  by means of discussion, role-playing, games or visits, brainstorming, etc...
    • Include how you think your activity will benefit the other participants.
    • Create evaluative processes that will fully engage learners and provide you with the feedback that you want and that you will be able to use.
    • All activities will be collected and shared between all participants as a learning materials and a good examples of techniques of non formal leaning realised in this youth exchange.
  3. Pack’ your ideas for how to promote the project, how to pass our signal (newspaper) to other young people and competent persons in each country and bring them with you
PROGRAM OF THE ADVANCED PLANNING VISIT

 
Day 1
Afternoon




Evening


Arrival to the camp
Familiarisation, exchange of promotional materials of organisation
Evaluation of our work to date, method and effect of communication, propose any change in approach to the project and its implementation

Providing main information about the travel (arrival and departure times for all participants), accommodation, boarding

Outline and define expectations and goals of the youth exchange
A learning needs analysis:
Providing information about your participant group
Identifying where participants are in terms of their knowledge, skills and competencies, versus where they wish to be - what are their learning goals.
Identify clearly what participants wish to achieve, what skills/knowledge/competencies they need to develope.


Day 2
Morning
Setting up the Programme activities - regarding with the participant needs we will establish the most suitable activities of the programme.
We will outline what results can be expected and if/how these can be measured
Tasks for partner organisations
The division of tasks between the partner organisations, planning and allocation of responsibilities for the remainder of the programme
Discussing other options in the surrounding view of the planned activities, any change
of venue for certain activities)

Promoting the project
And researching new ideas for methods to increase project publicity

Health and safety of participants
Discuss measures to ensure all participants abide with all health and safety regulations, also to list emergency telephone numbers and all emergancy plans. Decide on all rules and regulations concerning use of alcohol and/or drugs
